Role Overview
This is a very important role within Open Reality which demands a high level of self-motivation and accuracy. The role will require the successful candidate to work alongside other Accounts and Administration staff members primarily in our Abingdon office, but also remotely with our Head Office team. Together the Team will fulfil the duties below, meaning teamwork and the ability to interact with others is very important, however as many of the duties can be segregated the role also requires the employee to work on their own tasks and solve problems independently. The role demands high attention to detail and the ability to check and ensure that any information sent from the company is accurate and done to the best of their ability.
Opportunities will also arise on a regular basis to work with our parent company to assist with accounts and administration duties. The Accounts Team work closely with each other across the group and many responsibilities are shared; training will be given so that you can be involved and contribute to the work needed in all group companies.

Key Skills
- Familiarity with Xero/Zoho Books accounting software or similar book-keeping experience.
- Confident in MS Office Word/Excel.
- Ability to muti task with a versatile approach to working across group companies.
- Good organisational skills and attention to detail.
- Ability to stay calm under pressure.
- A desire to show initiative.
Key Responsibilities
Order Processing and Invoices
- Accept and check orders from the sales team and enter onto accounts system.
- Place orders on suppliers.
- Prepare and despatch sales invoices to customers.
- Process purchase invoices onto accounts system.
- Update supporting spreadsheets where required.
- Log hardware for despatch, deal with queries and book collections.
- Maintain supplier and customer records on Zoho & Xero and deal with any issues arising with the contact.
Credit Control & Payments
- Organise credit checks on customers to enable us to offer credit terms.
- Chase customers for payment, send statements, escalate issues to Directors via debtors reporting.
- Process customer receipts onto accounts software.
- Prepare supplier BACS payment run twice a month.
- Processing of staff expenses.
Banking
- Reconciliation of bank accounts.
- Enter credit card receipts and reconcile monthly.
Reception
- Answer incoming phone calls and pass on/ take messages.
- Meet and greet any visitors offering refreshments.
Manage Office Supplies and Contracts
- General management of & liaising with suppliers for office supplies and utilities; stationery, air con, rent, light & heat, repairs etc.
Filing
- Maintain electronic files where possible, however any manual records should be filed daily and kept tidy. NB: Most supporting records are now uploaded to the accounting software electronically.
Manage Information
- To ensure that both computerised and manual data is accurate, checked regularly, Data Protection Act is observed and kept confidential.
Administration Support & PA
- Support other areas of the business as required – e.g. book hotels, training courses, help to organise events etc.
- PA duties to the directors as required.
